As a Registration and Water Station Volunteer, you will have the opportunity to assist in two important roles: supporting runners at the registration area before the race and providing hydration and encouragement during the race. Your tasks will help ensure a smooth event experience for both participants and organizers.
Registration Area Volunteer (Pre-Race):
-
Assist with Registration Packet Pickup:
- Greet runners and guide them to the correct tables for race packet pick-up.
- Distribute race bibs, timing chips, event shirts, and other race materials.
- Ensure all runners check in and collect their race materials in an organized and efficient manner.
-
Provide Event Information:
- Answer general event questions about race day logistics, route, start times, and other relevant details.
- Ensure runners are aware of any event-related policies (e.g., gear check instructions, start area details).
-
Help with Registration Process:
- Help participants with any issues related to their registration, including checking their name, verifying details, or directing them to the appropriate event staff.
- Provide a friendly, welcoming environment and assist in minimizing wait times.
Water Station Volunteer (During the Race):
-
Set Up and Prepare the Water Station:
- Prepare tables with cups of water, sports drinks, and other hydration options.
- Ensure the station is stocked with necessary supplies, such as cups, sponges, and waste disposal containers.
-
Hand Out Water and Hydration Products:
- Distribute water and/or sports drinks to runners as they approach the water station.
- Offer cups of water, encouraging athletes to stay hydrated during their race.
-
Encourage Runners:
- Cheer on runners as they pass through the water station, offering words of encouragement and motivation.
- Ensure the station is welcoming and enthusiastic, helping runners stay energized.
-
Maintain the Water Station:
- Keep the water station area clean and organized, ensuring that cups are easily accessible, and that discarded items (such as empty cups) are promptly collected.
- Refill cups with water or drinks as necessary and make sure there are no disruptions in the supply.
-
Assist Runners in Need:
- Be attentive to runners who may need assistance (e.g., slowing down to grab water or needing support), and offer help as needed.
- Notify event staff or medical personnel if any runner appears to be in distress.
-
Clean Up After the Water Station:
- After the runners have passed, assist in the breakdown and clean-up of the water station, collecting empty cups, packaging trash, and storing supplies.
Skills and Qualifications:
- Friendly and positive attitude, with the ability to encourage and support participants.
- Ability to work in a fast-paced environment and under various weather conditions.
- Strong communication skills and the ability to follow instructions.
- Physical ability to stand for extended periods, lift and carry supplies, and move quickly between tasks.
- Team player with a willingness to work collaboratively with other volunteers and event staff.
- Previous experience in event volunteering or sports events is a plus but not required.
Time Commitment:
- Volunteers will be needed before, during, and possibly after the race depending on your assigned role.
- For the registration role, your shift will likely be during the pre-race period (e.g., a few hours leading up to the event).
- For the water station role, you’ll be stationed along the race route, typically requiring you to be on-site for several hours depending on where you’re placed.
Benefits:
- Experience in a large-scale sporting event and event management.
- Opportunity to contribute to the success of the marathon and to the runners’ overall experience.
- Meet other volunteers and be part of an enthusiastic, motivating community.
This role is vital in helping the marathon run smoothly and ensuring that participants have the best possible experience. Your support as a Registration and Water Station Volunteer will directly impact the event's success and help runners cross the finish line feeling supported and energized.
